Document tracking
The employment of RFID system has proved to be an effective solution in tracking confidential documents and assets in the company. With RFID, companies are able to locate pertinent documents rapidly; increase its workforce efficiency and productivity; and substantially reduce its operational costs. It cannot be denied that RFID technology is creating a drastic change in the way documents are managed, tracked and secured nowadays.
RFID technology is undeniably helpful in tracking documents from legal files to patient records. RFID Tags allow companies in different industries to save time, money and labor in locating misplaced documents, folders and boxes. Furthermore, RFID technology allows organizations to determine the current status, latest location and history of check-in and check-out of the documents. RFID also provide accurate information about the time and date when the document is taken out of the storage room. This results to a reduced incidence of losing important documents.
Inventory of documents can easily be administered by waving the RFID-enabled handheld device. In fact, RFID technology guarantees a reliable and accurate inventory of massive quantities of assets within just a short period of time. Compared to barcode system, it cannot be denied that RFID system provides better efficiency and enhanced productivity in managing crucial assets and documents. With barcode system, inventory is prone to error and time consuming. Furthermore, reduced labor is obtained in using RFID for tracking documents.
Organizations that utilize RFID system usually issue RFID-enabled badges to their employees. When an employee enters a document storage room, the RFID antenna mounted on the entrance and exit doors of the storage room immediately detect the signal from the employee’s badge. RFID Reader and antenna are used to monitor the check-in and check-out of documents from the room. The RFID tags attached to the documents are then associated with the RFID badge of the employee that removes or returns the document from and to the storage room.
